Setting up Email Auto Forwarding (Gmail)

Auto-forwarding sends your client's emails to Briefcase automatically. Briefcase picks out the individual transactions and puts them into your client's Briefcase inbox, handling duplicate checks and multi-page invoice splits along the way.

There are two ways to set this up:

  • Forward everything → you have direct access to the client's inbox and want all of its email forwarded to Briefcase.

  • Forward specific senders → you receive emails from several clients in one shared inbox and want each client's emails forwarded to their own Briefcase account.

Both start with the same first step: verifying the Briefcase forwarding address.

Step 1: Add and verify the forwarding address

  1. In Gmail, click the Settings gear icon, then See all settings.

  2. Open the Forwarding and POP/IMAP tab.

  3. Click Add a forwarding address.

  4. Enter the client's Briefcase email address (found in the client's Business Settings in Briefcase), click Next, then Proceed.

  5. You will receive a confirmation email from no-reply@notifications.briefcase.so. Open it and click the confirmation link to approve the forwarding request.

If the confirmation email doesn't arrive within a few minutes, check your spam/junk folder.

Option A: Forward everything

  1. Back in the Forwarding and POP/IMAP tab, select Forward a copy of incoming mail to and choose the Briefcase address you just verified.

  2. Select keep Gmail's copy in the inbox.

  3. Click Save Changes.

All emails received in this inbox will now be forwarded to your client's Briefcase inbox.

Option B: Forward specific senders (multiple clients)

First, repeat Step 1 for each client's Briefcase address. Leave the Forwarding section set to Disable forwarding — the filters below do the forwarding.

  1. Open the Filters and Blocked Addresses tab.

  2. Click Create a new filter.

  3. In the From field, enter the sender email addresses belonging to one client.

  4. Click Search and check that the matching emails are the right ones, then click Create filter.

  5. Select Forward it to and choose that client's Briefcase address.

  6. Click Create filter.

  7. Repeat for each client.

Emails will now be forwarded to each client's Briefcase inbox based on your filters.

Good to know

  • A forwarding address must be verified (Step 1) before it can be used in a filter.

  • Send a test email after setup to confirm forwarding is working.

  • If you don't see the forwarding options, they may be restricted by your administrator — contact your IT support.
